1. Who We Are
Sleep & Roots (“we”, “us”, “our”) provides gentle, respectful child sleep consulting and related digital guides and support. This Privacy Policy explains what personal data we collect when you visit sleepandroots.com or use our services, why we collect it, how we use and protect it, and what rights you have over it.
Company details (registered legal name, organization number, and registered address) will be added here once finalized with our legal and accounting team. Our billing and business operations are based in Sweden.
If you have any questions about this policy or about how your data is handled, you can reach us through our booking page or on Instagram @sleepandroots (see “Contact Us” below).
2. What Personal Data We Collect
We only collect the personal data that you choose to give us, directly, through the site or through our booking and communication tools. Depending on how you interact with us, this may include:
- Contact details: first name, last name, and email address, for example when you download a free guide or book a call.
- Booking information: the details you provide when scheduling a free call through our booking tool (Cal.com), such as your name, email address, and any notes or answers you enter in the booking form, including your confirmation that you have read our Terms & Conditions.
- Your child’s age range: a general age bracket (for example, “0-6 months”), used only to send you age-appropriate guides and content. We do not ask for or store your child’s name or other identifying information.
- Marketing preferences: whether you have opted in to receive occasional emails with sleep tips and updates.
- WhatsApp communications: if you become a client on one of our personalized plans, your phone number and the content of our WhatsApp conversations, used solely to provide the support included in your plan.
- Website usage data: general, non-identifying information about how visitors use our site (pages viewed, approximate location, device and browser type), collected automatically through cookies and analytics tools, described in more detail below.
We do not collect payment card details, government ID numbers, or other sensitive information through this website.
3. How We Collect Your Data
We collect personal data when you interact with us directly, for example when you:
- Fill in a form on our site to download a free guide.
- Book a free call or any paid session through our booking tool.
- Opt in to receive emails from us, including from the thank-you page shown after downloading a guide.
- Message us on WhatsApp or Instagram, or reply to one of our emails.
We also collect some data automatically through cookies and similar technologies while you browse the site, as described in the “Cookies” section below.
4. Why We Use Your Data (Legal Basis)
We only use your personal data where we have a valid legal basis to do so, which will usually be one of the following:
- Consent: for example, when you tick the checkbox to receive marketing emails, or when your browser allows non-essential cookies through our cookie banner. You can withdraw consent at any time.
- Performance of a contract: to book and deliver a call or consulting service you have requested, and to provide WhatsApp support included in a plan you have purchased.
- Legitimate interests: to send you the free guide you requested, to understand how visitors use our site so we can improve it, and to keep our services secure.
- Legal obligation: where we are required to keep certain records, for example for accounting or tax purposes.
5. Cookies and Similar Technologies
Like most websites, we use cookies, small text files stored on your device, to make the site work properly and to understand how it is used. When you first visit sleepandroots.com, a cookie banner lets you accept, reject, or customize which categories of cookies you allow (for example, necessary cookies versus analytics cookies). You can change your choice at any time using the cookie preferences icon that appears on the site after you make a selection.
- Necessary cookies: required for the site’s basic functioning (for example, remembering your cookie preferences). These cannot be switched off.
- Analytics cookies: help us understand how visitors interact with the site (for example, via Google Analytics), only set if you allow them.
You can also control cookies through your browser settings, though blocking all cookies may affect how parts of the site work.
6. Google Analytics
When you allow analytics cookies, we use Google Analytics to understand, in aggregate, how visitors use our site (for example, which pages are most visited and roughly where visitors are located). Google Analytics uses cookies and similar technologies and may process your data outside your country, including in the United States. We use Google’s consent mode so that, where required (including in the EU/EEA and UK), analytics data is only collected in line with the cookie choice you made in our banner. You can learn more about how Google handles data in Google’s own privacy policy.
7. Who We Share Your Data With
We do not sell your personal data. We share personal data only with trusted service providers who help us run our business, and only to the extent needed for them to provide their service to us:
- Cal.com: our booking tool, used to schedule calls and collect the information you enter in the booking form.
- Google (Analytics and Search Console): used for website analytics and search performance, as described above.
- WhatsApp / Meta: used to communicate with clients on personalized plans.
- Hostinger: our website hosting provider, which stores the site and the data submitted through it (including our email marketing tool, which runs on our own hosting rather than a separate third party).
- CookieYes: our cookie consent management provider, which records and stores your cookie consent choice.
We may also disclose personal data if required by law, or to protect our rights, safety, or the safety of others.
8. International Data Transfers
Our business is based in Sweden, within the European Union. Some of the service providers listed above (such as Google and Meta/WhatsApp) may process data in countries outside the EU/EEA, including the United States. Where this happens, we rely on the safeguards those providers offer, such as Standard Contractual Clauses, to ensure your data continues to receive an appropriate level of protection.
9. How Long We Keep Your Data
We keep personal data only for as long as needed for the purpose it was collected:
- Contact and marketing data is kept until you unsubscribe or ask us to delete it, or until it becomes inactive for an extended period.
- Booking and client data is kept for as long as needed to provide our services, plus any period required by law (for example, for accounting records).
- Cookie consent records are kept for the period set by our cookie consent provider, generally up to one year.
10. Children’s Privacy
Our services and this website are directed at parents and legal guardians, not at children. We do not knowingly collect personal data directly from children. The only information we collect about your child is a general age range, provided by you, used solely to tailor the guides and content we send you.
11. Your Rights Under GDPR
If you are located in the European Union, European Economic Area, or the United Kingdom, you have the following rights over your personal data:
- Access: request a copy of the personal data we hold about you.
- Rectification: ask us to correct inaccurate or incomplete data.
- Erasure: ask us to delete your personal data, subject to any legal obligations we may have to keep it.
- Restriction: ask us to limit how we use your data in certain circumstances.
- Portability: request your data in a structured, commonly used format.
- Objection: object to our use of your data for direct marketing or legitimate interests.
- Withdraw consent: where we rely on your consent (for example, marketing emails or analytics cookies), withdraw it at any time, without affecting anything already done based on it.
- Complain: lodge a complaint with your local data protection supervisory authority.
If you are located outside these regions, we still aim to honor these same rights wherever reasonably possible.
12. How to Exercise Your Rights
To ask a question, unsubscribe from emails (using the unsubscribe link included in every email we send), or exercise any of the rights above, please reach out to us through our booking page or on Instagram @sleepandroots. We will respond to legitimate requests within a reasonable timeframe, and in any case within the timeframe required by applicable law.
13. Data Security
We take reasonable technical and organizational measures to protect the personal data we hold against loss, misuse, unauthorized access, and disclosure. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
14. Links to Other Websites
Our site may contain links to other websites, such as Instagram or our booking tool. We are not responsible for the privacy practices or content of external sites, and we encourage you to review their own privacy policies.
15. Changes to This Policy
We may update this Privacy Policy from time to time, for example to reflect changes in our services or in applicable law. We will post any changes on this page, and significant changes may also be communicated through our usual channels.
16. Contact Us
If you have any questions about this Privacy Policy or how we handle your personal data, the best way to reach us is through our booking page or on Instagram @sleepandroots. Please also see our Terms & Conditions for the terms that apply to our services.
